Executive Assistant, London – 1 year FTC

As Executive Assistant you will provide general administrative support to our Vice President for the Hub West region which encompasses the UK and Ireland, France, Belgium and Netherlands.




  • Diary Management –scheduling of all internal and external appointments, ensuring international timings are taken into consideration and supporting documentation is provided
  • Travel arrangements - arranging all local and international travel and accommodation for the VP and occasionally the leadership team. 
  • Correspondence - managing the VP’s email inbox and incoming communications on behalf of the VP and responding to routine correspondence on their behalf.
  • Event organisation – arranging meals, engagements, workshops, team activities and offsite visits and ensuring technical set-up runs smoothly.
  • Business support - handling confidential materials and documents and providing general administrative support. 
  • Office Management – taking ownership for Office Management tasks and support in the daily running of the office.
  • Preparation of documents and presentations - drafting, editing, and formatting business documents and co-ordinating content with other stakeholders when necessary.
  • Management Team liaison - ensuring members of the Hub West Leadership Team are well prepared for meetings and other key events when applicable.
  • Personal administrative support - providing personal support to the VP, such as managing their personal schedule, arranging personal travel and assisting with ad hoc requests.




  • Completed studies or commercial training
  • Experience supporting at Senior Executive level
  • Strong comprehensive knowledge of MS Office tools including PowerPoint
  • Excellent attention to detail and organisational skills
  • Confidence to communicate with multiple stakeholders and Senior Management
  • Ability to prioritise and multi-task effective
  • Professional, discreet and an appreciation for the importance of confidentiality
  • Enthusiastic, hands-on mentality who enjoys taking on responsibility
  • Comfortable working independently and enjoys being part of a team
  • Strong written and verbal communication skills
